IETF meeting terms and conditions

Registration types

Each of the following is available for either Onsite or Remote participation. Onsite registration includes admission to the welcome reception (cash bar) and afternoon break refreshments. Tickets for the Social Event must be purchased separately.

• Week Pass is for all or any part of the meeting and includes admission to all parts of the meeting, all week.
• Student registration is available for full-time students and includes admission to all parts of the meeting, all week. Proof of full-time student status is required.
• One Day Pass registration includes access to any one day of meeting sessions, plus the Sunday Tutorials and Welcome Reception, and the Plenary sessions.
• Hackathon Only registration provides access only to the IETF Hackathon held in conjunction with an IETF meeting.

For onsite participation, you are responsible for your own transport, accommodation and any visa requirements for attending the meeting.

Fee tiers

There are three fee tiers:

• Super Early is available before the agenda is published at a significant discount over the standard fee.
• Early is available after the Super Early period expires and until a couple of weeks before the meeting.
• Standard is the fee charged in the last two weeks before the meeting starts.

Changing registration types

Anyone who registers as an onsite participant and then needs to participate remotely is able to convert their registration at the same fee tier at any time, with the difference in fee refunded. Participants who register and pay will not receive a refund if they subsequently are granted a fee waiver.

To change your registration type, please email support@ietf.org and the Secretariat will help you convert your registration.

Payment

Registration fees may be paid by MasterCard, Discover, Visa, American Express, and PayPal.

To pay after 12:00 local time on the first day of the meeting, please visit the meeting registration check-in when you arrive on site.

Cancellation and refund

1. Refunds may be subject to a 10% (ten percent) service charge. Note: this fee is always waived if cancellation is due to denial of entry visa.
2. If the IETF reasonably suspects that a request for a refund relates to fraudulent activity or intent, it may deny the refund.
3. Cancellations and requests for refunds should be received five (5) working days before the first day of the meeting. Refund requests may not be honored after that point.
4. For registration fees paid via credit card, refunds will only be issued to the credit card originally charged.
5. Contact the IETF Registrar at support@ietf.org to cancel and request a refund.

IETF policies

As a condition of meeting registration, you agree to comply with IETF policies and procedures, summarized in the Note Well. The Note Well points out IETF’s rules on intellectual property rights (IPR), anti-harassment, and other important guiding policies for the IETF.

We may implement additional relevant policies and by participating in the meeting after we implement new policies or changes to these terms and conditions, you confirm that you agree to those.

No promotional activity

Promotional activity at an IETF meeting or promotional activity directed at IETF meeting participants is not allowed without the express prior written consent of the IETF Administration LLC (IETF LLC). This restriction applies to everyone, including registered participants and organizations they are affiliated with, and includes both onsite and online promotional activity. You may be asked to ensure that an organization with which you are affiliated complies with this section.

Any claim or implication that you, any organization, event, product, service or technology is affiliated with, sponsored by, endorsed by, hosted by or otherwise connected to the IETF is not allowed without the express prior written consent of the IETF LLC.

Promotional activity includes distributing materials, advertising products, services or events, soliciting participants, or collecting participants' personal data (including by means of a QR code, link, sign-up sheet or registration form) for any purpose connected with a promotional activity.

Limitation of liability

Except as required by law, the IETF will not be liable for any failure to perform, if due to any cause beyond IETF’s reasonable control or any direct, indirect, special, incidental, or consequential costs, damages or losses arising directly or indirectly from the meeting.

Reporting

To assist in maintaining the integrity and value of the IETF meetings, you are encouraged to report any suspected unauthorized activity (including unauthorized promotional activity or data collection) and provide any related materials, such as flyers or screenshots to IETF LLC staff (in person or by email to support@ietf.org).

Use of personal data and real names

The IETF and related organizations are committed to transparency and so some of your registration data will be made public. For information about the personal data that is collected, and how it is managed, please see the Privacy Statement.

IETF meeting registrants should provide their personal data only through the IETF’s official registration system and official channels. The IETF does not authorize any third party to register participants, or to collect participants' personal data, at or in connection with a meeting without express written consent.

We are required by law to ensure that we do not do business with any person or entity subject to US sanctions. In order to comply, we check the name of everyone who registers against the OFAC Sanctions List Search as document in our OFAC compliance policy.

For that and other legal compliance reasons, we require you to provide your real name in the appropriate field in the registration system and we may refuse registration or ask someone to leave if we suspect a real name has not been provided.

Recordings and image privacy

The IETF collects audio, pictorial and video recordings of our events, meetings and conferences, all of which may be made public. 

For some meetings we provide red lanyards for you to wear if you do not wish to be photographed individually or in small groups, but wearers may still appear in photographs and video recordings of large groups. We use reasonable efforts to ensure that any third-party photographer/videographer follows the same rules.

However, if you speak at a microphone, appear on a panel or carry out an official duty as a member of IETF leadership then you consent to appearing in recordings of you at that time. If you participate online, and turn on your camera and/or microphone, then you consent to appear in such recordings. This consent cannot be later withdrawn.

Enforcement

To help ensure the safety, security and integrity of our meetings and meeting participants, the IETF may take any steps it deems necessary to enforce these terms and its policies. This can include, where needed, declining entry to a meeting or requiring someone to leave. Such action does not entitle the affected person to a refund, and does not limit the IETF from taking any other action available under these terms, its policies, or the law.
